Yes! All invoices from vendors are passed on directly to your community and uploaded to the portal. You will see exactly what the vendor was paid and if its subject to a management markup, you will see that as a separate bill.
Our payables process goes as follows; an invoice is either attached to a completed work order or it is emailed in to us using our dedicated payables address. All invoices received throughout the week are reviewed in house by Friday afternoon. Once approved, a bill is created by our accounting team and sent as a payables batch to a dedicated board member for review by the following Friday. Once approved by the board the bill is paid by our accounting team.
The easiest way is for a board member to enter a maintenance request through the portal. Once entered, you will receive status updates, quotes if necessary, pictures and notes once completed. This simplifies the tracking of tasks and eliminates the possibility of an issue going unresolved. In addition, all home owners will be provided with a 24/7 emergency only line that is staffed by our in-house team.
Similar to a maintenance request, all violations get entered into the property’s portal and are tracked and updated on a weekly basis. Reminders can be automated and fines can be levied directly through the portal and are governed by your community rules.
